Position summary

We have a great opportunity for someone to join and contribute to a growing company and provide administrative/technical workflow management to ensure that the highest quality standards are maintained across all outputs.

Working in close partnership with Scientific, Account Management, Editorial, and Creative team members, the Production Coordinator is assigned under the direction and mentorship of a Production Manager (or Lead) to support multiple congress, publications, and medical communications projects and provide administrative/technical workflow management to agreed schedules.

Key responsibilities

Production & Congress Support
• Develop and coordinate production and congress schedules including key milestone dates, tracking production progress and reviewing factors which may affect schedules
• Source cost and turnaround time estimates for both digital and print deliverables , as required
• Manage and monitor materials inventories
• Troubleshoot unanticipated issues, ie, source alternate print solutions when on-site changes are required for example
• Organise, package, dispatch and track print and other materials across multiple clients for various medical congresses
• Support in the sourcing of vendors for specific types of work, ie, cloth posters, mass mailings, data sticks, mugs, pens or exhibit booth work

Project Management
• Assist with special projects, such as pitches/proposals or other meeting preparations
• Follow agreed department workflow to ensure all work is approved and delivered to deadlines, create and maintain records in project management system for internal trafficking
• Proactively seek to innovate and improve process in conjunction with the team
• Collaborate closely with internal teams to alleviate stress deadlines and pinch points. Maintain quality while helping the team to deliver to short deadlines and fast turnaround times
• General administrative support across the department as needed

Skills and experience required

• Experience in medical / pharma agency environment is preferable
• Sound understanding of the print production process
• High proficiency in MS Office suite (ie, Word, Excel, PowerPoint, Outlook)
• Preferable 3+ years of experience in a creative agency/medical/pharma or similar environment
• Exhibits rapport with key stakeholders at all levels and communicates effectively
• Maintains a positive and constructive approach when working under pressure
• Meets deadlines while maintaining quality of output
• Manages multiple projects and prioritizes effectively
